The Eventbrite Manager allows you to link your Eventbrite account to Servant Keeper. Once you have linked to your Eventbrite account, you can show events for which people in Servant Keeper are registered.
Note: This help sheet assumes you've already completed the steps to link your Eventbrite account with Servant Keeper 8. If you have not already done so, click HERE to get started.
- Open and log in to Membership Manager.
- Click Tools | Eventbrite Manager.
Note: If the Eventbrite Manager option is grayed out it means you do not have User Security to this feature. To gain access, have your administrator log in to the Administration Manager, click [User Security], and edit your user. Check items "12.0 Eventbrite Manager" and "13.0 Eventbrite Tab" on the Membership tab to gain access to the features for your Eventbrite integration. Remember to close and re-open the Membership Manager after these privileges have been granted and saved.
The Eventbrite Manager will open displaying any events you have already set up in your Eventbrite account. On the left-hand side of the Events window, you will see all of your live and completed events sorted by date with the newest events at the top. On the right-hand side of the window, you'll see the names of the people who are registered for the highlighted event.
Next to each name on the right-hand side of the screen, you will see the word "Matched" or "Unmatched". As your registrants sign up for events, it is important to ensure they are all matched--this will pair their record in Servant Keeper to their record in Eventbrite. If you see a person who is unmatched, this may be because they're a visitor who is not already in SK or the email address they used to register for the Eventbrite event is different from the email listed for them in SK.
If an individual is unmatched, use the [Manual Match] button to match them to an existing record in SK or use the [Add Visitor] button if you'd like to add them into SK as a new individual record. If you accidentally match a registrant to the wrong record, use the [Unmatch] button to unmatch the record in order to manually match it again. Use the [Select Fields] button if you'd like to choose additional fields to display for the individuals listed.
Note: By default, the Eventbrite integration will look to the primary "E-Mail" field in the Individual Profile. This means if the email used by a person to register in Eventbrite is in the "E-Mail" field in an individual record in Servant Keeper, that SK record will be matched to the Eventbrite record. Use the [Settings] button in the Eventbrite Manager to choose if you'd also like the integration to map registrants based on other emails in the SK Individual Profile such as "Email 2" or "Email 3".
After the registrants to your Eventbrite events have been matched to records in Servant Keeper, you will be able to see this information displayed on the "Overview" > "Eventbrite" tab of each registrant's SK Individual Profile. On the Eventbrite tab of the Individual Profile, you will be able to see each event for which the selected individual has registered as well as the ticket cost for each event.
- If you're looking to view information about your events and registrants on a larger scale (rather than viewing one-at-a-time), there are several different Eventbrite reports in the Membership Report Manager. In the Membership Manager, click on [Reports] to open your report manager, then choose "Eventbrite" from the left-hand side. Each of the reports listed in the "Reports" box will report on information from your Eventbrite integration.
